Yes, that timeline works and here are the specifics you asked about. I can take the lead on the layout and coordinate the volunteers. Start by confirming who will bring the folding tables and who can arrive early to set up. I will arrange the sign-up sheet and bring extra pens. For the refreshment plan, we should keep it simple: bottled water and a small plate of individually wrapped snacks to avoid sharing utensils. If someone else wants to handle beverages, ask them to provide napkins as well. For seating, determine whether we need six 8-foot tables or four 6-foot ones; I lean toward the six-foot option since it fits the venue more cleanly. If space becomes tight, we can reduce one table and add a standing station. I can take care of the logistics you mentioned and here is how I would break it down. First, assign two volunteers to handle arrival and setup; they should arrive 45 minutes early to stage tables and signage. Next, list the materials you need at each station and mark one volunteer responsible for replenishing supplies during the event For refreshments, designate a separate volunteer to manage distribution and trash so that other volunteers can remain focused on attendees. For the agenda, keep presentations brief and allow a block for questions so attendees can address specific concerns. If you want printed handouts, confirm the quantity and I will coordinate with the printer to have them ready the morning of the event. I will also prepare a small checklist for volunteers that includes arrival time, setup duties, and a clean-up plan. If parking directions are required, I will contact the venue to confirm the best drop-off and parking areas and will produce a diagram for volunteers. Regarding signage, simple directional signs at key intersections work well; I can draft the wording and coordinate printing. For post-event follow-up, I suggest collecting email addresses and a short feedback note; I can draft both the sign-up sheet and a follow-up message to send within three days. Let me know which volunteer prefers to manage the attendee list and which one can stay later for clean-up and I will finalize the schedule and distribute it by tomorrow morning.
